Privacy Policy
Offhand records what you say, turns it into notes, and answers questions about them. This policy explains exactly what that involves, what leaves your phone, and who else sees it.
What we collect
- Your account. An email address or phone number, used to sign you in. There is no password.
- Transcripts and notes. The text of your recordings, the summaries and action items generated from them, typed notes, and the pages behind links you save.
- Your recordings. The audio of anything you record with Offhand, until it has been transcribed. See the next section.
- Usage records. How much you have recorded and what each thing you did cost us to run, so we can apply your plan's allowance and show you what it was spent on.
- Calendar context, only if you turn it on. The title and invitee list of the event happening while you record, so summaries can use real names instead of "someone". Nothing else on the event, and only during a recording.
We do not collect advertising identifiers, location, contacts, or your device's other apps, and there are no third-party analytics or advertising SDKs in the app.
What happens to your audio
While you record, your phone's own speech recognizer turns what it hears into text on the screen, so you can see that you are being heard. That live text is feedback and nothing else. It is never uploaded, it is never stored, and it is not your note. It is gone when the recording ends.
The note is made from the recording itself. When you stop, the audio is uploaded to our server and sent to AssemblyAI, our transcription provider, which turns it into text and separates the speakers. That text is the note, and it is what the summary, the action items and every later answer are written from.
This happens to every recording. There is no setting that keeps one on the phone, so if you would rather something were not transcribed, do not record it.
Audio is encrypted in transit and at rest. We delete the recording as soon as its transcript is saved to your note. The transcript is the note from then on, and nothing plays the audio back. If transcription fails, we keep the recording so you can try again, until it succeeds or you delete the note. Deleting a note or your account deletes any audio still held.
We ask AssemblyAI to delete their copy as soon as the transcript reaches us. The request goes out the moment the text is saved to your note, and it covers the audio as well as the transcript. It is a request to another company's system, so we cannot promise every one lands — but we no longer leave that copy sitting there, which is what this said before.
Versions of the app from before September 2026 do this in two steps: the phone's text is sent first so that a note appears straight away, and the recording follows and replaces it with the transcription described above. The recording is uploaded either way. The difference is only how soon you see something, and that those older versions send us the phone's text as well.
Text messages
If you sign in with a phone number, Offhand texts that number a one-time sign-in code each time you ask for one. If you switch it on in Settings or on the Plan page, Offhand also texts you when you reach a month's usage limit, at most once per billing period, with where to get more. That is all we text: no marketing, no promotions. Message frequency varies with how often you sign in. Message and data rates may apply. Reply STOP to stop texts and HELP for help, or write to support@grounders.app. Texts are sent through Twilio, which receives your number and the message to deliver it.
We do not sell or share your mobile number, or your consent to receive texts, with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third party, except the provider that delivers the messages.
Who else sees your notes
- AssemblyAI transcribes your recordings. What we send them is the audio — the recording, not a transcript of it — and what comes back is text with the speakers separated. They process it to produce that text and for nothing else. As described above, we ask them to delete their copy — audio and transcript — as soon as the text reaches us.
- Anthropic processes the text of your notes to produce summaries and to answer your questions. Text is sent to Anthropic's API for that purpose only. It is not used to train models.
- ElevenLabs reads answers aloud. When you use a spoken answer, the text of that answer — which can quote your notes — is sent to them and audio comes back. Only the answer is sent, never your recordings or the rest of your notes, and only when you ask for something out loud. If your phone reads the answer in its own built-in voice instead, nothing is sent to them at all.
- Our hosting and storage providers hold the database and any audio described above, under contract and solely to run the service.
- Stripe handles payments made on the web, and Apple and Google handle any made through their stores. We never see your card details; we receive what was bought, what it cost, and what reached us after fees and tax, which is what sets your allowance.
- An AI assistant you connect yourself. If you connect Offhand to Claude, ChatGPT, Gemini or another assistant, that assistant can search and read your notes. It cannot create, edit or delete anything. You granted that access and you can revoke it at any time. What that assistant does with what it reads is governed by its own provider's privacy policy, not this one.
We do not sell your data, and we do not share it for advertising.
Recording other people
Offhand records conversations, which in most places means other people. It is your responsibility to have whatever consent the law where you are requires. See the Terms of Service for more on this — it matters most if you use the Android call recording feature.
How long we keep things
Notes and transcripts are kept until you delete them or delete your account. Recordings are deleted once transcribed, or kept until then if transcription failed. AssemblyAI's copy is not meant to outlive the transcription: we ask them to delete it as soon as the text reaches us, so it should be gone within minutes of a recording being transcribed rather than waiting on a deletion here. Sign-in codes expire within minutes. Payment records are retained as long as tax and accounting law requires, with your account identifier removed once the account is deleted.
Deleting your account
Settings › Delete account removes your account and everything attached to it — notes, transcripts, summaries, conversations, and any stored audio — permanently and without a waiting period. This cannot be undone. It does not reach the copies of your recordings held by AssemblyAI; see "How long we keep things" above.
Deleting your account cancels a subscription bought on the web, at once. One bought through the App Store or Google Play is not ours to cancel: cancel it in that store's account settings, or you will continue to be billed.
Your rights
You can access, correct, export or delete your data. Deletion is built into the app; for anything else, write to support@grounders.app and we will respond within 30 days. Depending on where you live you may also have the right to object to processing or to complain to a data protection authority.
Children
Offhand is not intended for anyone under 13, and we do not knowingly collect information from children. If you believe a child has an account, write to us and we will delete it.
Security
Data is encrypted in transit and at rest. Access to production systems is limited to those who need it. No system is perfectly secure, and we will tell affected users promptly if a breach occurs.
Changes
If we change this policy in a way that materially affects you, we will tell you in the app before it takes effect. The date at the top always reflects the current version.
